The Challenge: Scaling a Complex Demo Program Across the Buyer Journey

iCIMS has been a leader in the talent acquisition space for over 25 years, and its platform has grown significantly through a series of acquisitions and product expansions. Where the company once told a focused story about a single ATS built by recruiters for recruiters, its solution consultants today must articulate a complex narrative about an AI-powered hiring platform spanning multiple products, personas, and use cases.

That growth created real friction in the demo process. As Lauryn Anderson, Manager of Solution Experience at iCIMS, explains: “Solutions consultants have had to learn how to demonstrate our platform as it stands today, while painting a picture of where we’re headed — without over-committing any product capabilities to prospects or existing customers.”

Two challenges stood out in particular.

Building a scalable, multi-product presales demo environment. With new products coming in through acquisitions, building live integrations for every demo scenario wasn’t feasible. Replicating one-off experiences across tens or hundreds of live demo environments at scale was simply unsustainable. The team needed a way to capture a demo experience once and repeat it reliably — without it looking like a PowerPoint or a video.

Demoing AI consistently and repeatably. AI is native to the iCIMS platform, but demonstrating AI features introduces an inherent challenge: the same prompt won’t always produce the same result. For solution consultants running multiple presales demos a day, that variability is a serious problem. AI assistants that optimize job descriptions, sourcing agents that need fresh candidate data, proprietary matching algorithms — all of these required either constant environment resets or risked inconsistent outcomes in front of prospects.

The Solution: An Interactive Demo Platform Built for Every Team

iCIMS deployed Reprise to give their Solution Experience team a foundation for building, managing, and scaling interactive demo assets across the entire organization.

A library of reliable, reusable demo assets. Using Reprise’s HTML environments, the team built a library of supplemental demo assets that solution consultants can pull into any presales demonstration to fill gaps in the live environment. These assets look and feel like the live product, maintaining the visual continuity that’s essential to a great demo experience — without the instability of a live environment.

Solving the AI demo repeatability problem. For AI-powered features, Reprise became the team’s answer to the demo automation challenge. Rather than resetting environments before every demo or risking unpredictable outputs, the team captures AI interactions in advance and packages them as reusable assets. As Lauryn puts it: “We love using Reprise to capture these experiences once, and then provide assets to the team that they can customize for their demonstration — and then show it over and over again.” Reprise’s cloned environments and Data Studio are also being leveraged to further reduce the time it takes to customize demos by industry, persona, and use case.

Extending demo excellence to customer success. One of the most innovative expansions of the demo program has been building “what’s new” interactive demos ahead of each major product release. When significant UI updates or new features are on the horizon, the Solution Experience team builds Reprise assets that guide customers through the changes — before they ever log in and find their environment looks different. The response was immediate: the first asset was so well received that it became a recurring part of the release process. These interactive demos have reduced the training burden on customer success managers, who can now hand customers a self-guided experience rather than scheduling live walkthroughs.

Results: Demo Excellence That Spans the Entire Go-to-Market Motion

iCIMS’s Solution Experience team — a lean group of four — now supports a wide range of go-to-market activities through Reprise: interactive website demos driving top-of-funnel lead generation, guided leave-behind assets for prospects mid-cycle, sandbox environments for complex buying scenarios, and “what’s new” demos for the customer base ahead of every major release.

The qualitative impact has been clear. Solution consultants report significantly greater confidence in their presales demos, particularly for AI features. Customer success teams have praised the “what’s new” assets for simplifying their release conversations. And across the org, teams that previously had no scalable demo option now have reliable, polished interactive demo assets they can use independently.

Looking ahead, iCIMS is focused on measuring the demo program’s direct impact on revenue — integrating Reprise with their marketing automation tools to connect website demo engagement to demand generation results, and tracking adoption and usage data across the solution consulting team to understand what’s driving the most value.

“Deploying Reprise has been such a game changer for us. Now we have this library of supplemental assets that solution consultants can leverage to fill in those gaps — and it’s also made it really simple to create assets that maintain engagement through the buying cycle, or help our customers be more aware of what’s coming.”

Key Takeaways: Building a Scalable Demo Program

For presales and solution consulting leaders looking to build a similar demo program, Lauryn offers three pieces of advice:

  1. Know your internal customers. Identify who the demo program needs to serve and build a focus group to help scope what will have the most impact.
  2. Start with one high-impact area. Prove value in a focused area first — the ideas for expanding the program will follow naturally from early success.
  3. Leverage your Reprise team. The best practices and support from Reprise’s account team have been instrumental in building out iCIMS’s demo program and identifying where to create the highest impact.
